Responsibilities

  • **Grantmaking**
  • Evaluate and provide input on Traditional grant proposals and Ribbon of Hope grant proposals for recommendation to the Board
  • Prepare grant agreements for approved grants and attain necessary approvals via AdobeSign
  • Review and action requests for adjustments to approved grants
  • Monitor grant reporting requirements to ensure reporting is in place before multi-year grant payments are made
  • Liaise with grantees regarding legal compliance, reporting, and/or budget and program adjustment matters
  • **Finance/Accounting**
  • Assess and provide financial analysis and long-term grant projections to the Board of Directors
  • Develop and monitor Foundation programs budget as approved by the Board
  • Manage bank accounts for the Foundation assets as well as grantmaking and programs budgets, maintaining working knowledge of which account to use for compliance purposes
  • Perform monthly reconciliations using accounting software (QuickBooks) for two bank accounts and one investment account, ensuring balances zero out each month and determining/correcting any discrepancies that may exist
  • Submit monthly reconciliation information to Treasurer for review to comply with internal control requirements
  • Track investment gains and losses and calculate market values to match monthly brokerage statement
  • Prepare and disseminate monthly financial reports to the Board
  • Prepare and report financial updates to Board of Directors at quarterly Board meetings and provide additional information as requested
  • Liaise with Investment Advisor and associates to keep apprised of grants forecast and projections to better determine investment and payout strategy
  • Coordinate and fulfill all requirements of the annual external financial audit and tax activities for the Foundation. Includes Trial Balance, Balance Sheet, Tax data, Investment data, and specific grant making details and confirmations
  • Calculate annual contributed cost for reimbursement to GSK using budget data from the UK and provide information to external auditors for review to ensure no self-dealing has occurred
  • Prepare Board members' annual 1099 tax forms
  • Prepare scheduled grant payments, confirming payment data on Wells Fargo site for fraud management purposes
  • **Governance**
  • Draft resolutions and policies, obtaining Legal Counsel input as appropriate
  • Maintain a good working knowledge of annual requirements to maintain 501(c)3 compliance
  • Ensure no direct or indirect self-dealing transactions occur between the Foundation and GSK
  • **Operational**
  • Perform all activities to run the Board of Directors meetings, including preparation of agenda and dissemination of agenda materials to Board of Directors
  • Preparation of Director's Fee payments
  • Project materials during Board meetings for both in-person and virtual attendees
  • Prepare and disseminate Audit Committee meeting agenda materials, attend meetings, and prepare minutes
  • Perform end-of-year accounting; calculate financial information for publication in Annual Report and edit/review report

    The Fiscal Analyst is responsible for the overall management and development of investment strategies of the Foundations assets, the operation of financial and cash management services, as well as the development of related policies and procedures. This position develops and maintains financial record systems and fulfills external financial and internal control auditing requirements and financial statements working with investment, audit and tax advisors, the Foundation investment and audit committees and Board of Directors. This position also analyzes proposals, develops grant agreements, and reviews requests for adjustment to approved grant budgets and timelines.

    Why you?

    Basic Qualifications:

    We are looking for professionals with these required skills to achieve our goals:

    • Bachelor's Degree in business administration/management, finance, or accounting required
    • 3+ years of experience with accounting software (QuickBooks preferred)
    • 3+ years experience understanding of financial investments including calculations of gains/losses

    Preferred Qualifications:

    If you have the following characteristics, it would be a plus:

    • Demonstrated proficiency in the use of software programs including Microsoft Outlook, Word, Teams, PowerPoint and Excel, with the ability to generate AdobeSign documents for signature
    • Effective verbal and written communications skills
